We are the data controller for the personal information described in this policy, and we are registered with the Information Commissioner's Office (ICO), registration reference

What this policy covers
This policy covers our website, our services, and our events and programmes generally. Where a programme involves more detailed or sensitive information, such as our funded community programmes, we provide a separate, specific privacy notice at the point you apply, which sits alongside this policy.
What we collect, why, and our lawful basis
Enquiries and contact - your name, email and message when you get in touch, so we can respond. Lawful basis: our legitimate interest in responding to you.
Newsletter and updates - your name and email, to send you news and event information you've signed up for. Lawful basis: your consent, which you can withdraw at any time via the unsubscribe link or by emailing us.
Clients and service delivery - contact details, organisation and professional information needed to deliver consultancy, training and coaching. Lawful basis: performance of a contract.
Events and ticketing - your name, contact details and booking information when you register for an event. Lawful basis: performance of a contract, and our legitimate interest in running events well.
Event photography - we may take photographs or short films at our events for reporting and promotion. We display notices at events, and you can tell us or the photographer at any time if you'd prefer not to be photographed. Lawful basis: our legitimate interest in documenting and promoting our work, balanced against your right to object.
Programme applications - when you apply to one of our programmes, we tell you exactly what we collect and why in a dedicated privacy notice on the application form. Where this includes sensitive ("special category") information such as ethnicity, we only process it with your explicit consent.
Website usage - technical and analytics data (browser, device, pages visited) to improve the site. Lawful basis: consent, collected via the cookie banner.
Cookies and tracking
Our website uses cookies and similar technologies. These include analytics cookies and the LinkedIn Insight Tag, which helps us measure the performance of our LinkedIn campaigns and may be used for advertising measurement by LinkedIn. Non-essential cookies, including the LinkedIn Insight Tag, only run if you accept them via our cookie banner. You can change your choice at any time in your browser or via the banner settings.
Who we share information with
We never sell your information. We share it only:
With service providers who help us operate - including website hosting (Squarespace), ticketing (Ticket Tailor), our database (Airtable), marketing and forms (HubSpot), and email and document tools (Google Workspace). They act on our instructions under data protection agreements.
With funders of our programmes - in anonymised, aggregated form only (for example, participant numbers and outcomes). We do not share programme participants' names or personal details with funders.
Where the law requires it — to comply with legal obligations, court orders, or to protect rights, safety or property.
Some of our service providers are based outside the UK. Where that's the case, transfers are protected by UK-approved safeguards such as adequacy regulations or the UK International Data Transfer Agreement.
How long we keep your information
Enquiries: deleted within 12 months of our last contact.
Newsletter data: kept until you unsubscribe, then removed from the mailing list.
Client and financial records: kept for 6 years after the end of the relationship, in line with tax and accounting requirements.
Programme participant data: kept for the periods set out in the relevant programme privacy notice, then securely deleted.
How we protect your information
We use appropriate technical and organisational measures, including secure platforms, encryption, access controls limited to those who need the information, and data minimisation. If a personal data breach ever put your rights at risk, we would inform you and the ICO as required by law.
Your rights
Under UK GDPR you have the right to: access a copy of your personal data; correct inaccurate data; ask us to delete your data; restrict or object to our processing; receive a portable copy of data you provided; and withdraw consent at any time where consent is our basis for processing (this doesn't affect processing before you withdrew).
To exercise any right, email hello@communicateinclusively.com - we'll respond within one month. You also have the right to complain to the Information Commissioner's Office: ico.org.uk, or 0303 123 1113.
