Privacy Notice — Navigating Crossroads Programme

Who we are
The Navigating Crossroads programme is run by C-Inclusively CIC (trading as Communicate Inclusively), company no. 14551960, registered at 12 Laughton Road, Northolt, London UB5 5LL. The programme is funded by Pathways (part of Housing Pathways). We are the data controller for your information. Contact: hello@communicateinclusively.com.
What we collect and why
Your contact details - to communicate with you about your application and the programme.
Your postcode - the programme is funded for women living in the London Borough of Ealing, so we use this to check eligibility. We may ask for proof of address (such as a recent utility bill or council tax letter).
Your age, employment status, goals and support needs - to confirm eligibility, tailor the programme to you, and support you properly.
Your ethnicity - the programme is funded specifically to support Black women, so we ask this to confirm eligibility. This is sensitive ("special category") data, and we only process it with your explicit consent, given on the application form.
During the programme - survey responses about your confidence, wellbeing and employability (at the start and end), attendance records, and brief coaching notes, to support you and measure the programme's impact.
Our lawful bases are: your consent (and explicit consent for ethnicity and any health-related support needs); performance of our agreement with you to deliver the programme; and our legitimate interests in running and evidencing a funded community programme.
Who sees your information
The small Navigating Crossroads delivery team, with access restricted to those who need it to support you.
Our funder, Pathways, receives anonymised, aggregated data only, for example, "42 participants completed the programme." Your name and personal details are never shared with the funder.
Trusted service providers (such as our website, form and database platforms) that help us operate the programme, under data protection agreements. They cannot use your data for their own purposes.
We never sell your information.
Research and the white paper
Insights from the programme - including survey responses, workshop polls and themes from coaching conversations, will inform a published white paper about the barriers Black women face in employment. Everything used in the white paper is anonymised: nothing published will identify you. Contributing to the research is part of the programme, but if you would prefer any of your individual feedback excluded, tell us at any time and we will exclude it.
Photographs
We sometimes take photographs at programme sessions and events, for our reporting, our website and social media, and occasionally for our funder's website. We ask whether you're happy to appear in photographs when you join the programme, it's entirely your choice, saying no doesn't affect your place in any way, and you can change your answer at any time by emailing us. If you haven't said yes, we won't photograph you identifiably.
How long we keep your information
If your application is unsuccessful, or you join the waiting list and a place doesn't come up: deleted within 6 months.
If you join the programme: kept until 31 December 2027 (required for our grant reporting), then securely deleted.
Anonymised research and evaluation data (which cannot identify you) may be kept longer.
Your rights
You can ask to see, correct or delete your information, restrict or object to how we use it, or withdraw your consent at any time, email hello@communicateinclusively.com. Withdrawing consent won't affect any support you've already received. You also have the right to complain to the Information Commissioner's Office: ico.org.uk, or 0303 123 1113.
Keeping your information safe
Your information is held on secure platforms with access limited to the delivery team members who need it. Anything sensitive you share in coaching is recorded only as brief notes, and safeguarding matters are handled through our separate confidential safeguarding process.
